Overview

Neolé had the privilege of co-designing, facilitating and producing a 3-day conference for a client, where over a hundred staff gathered for the first time in 6 years. Neolé and the key members of the planning team, started preparations for this event only a couple months before the conference. Ginny Santos was the main facilitator and Neolé members took on the roles of project manager and event producer. We held weekly planning meetings to make sure no detail was missed. The collaborative effort of the planning team and Neolé was crucial in bringing this conference to life.

The Challenge

The preparation for the conference started only two months before the event. Managing many details and organizing various activities made planning even more challenging. Every activity added variety and excitement to the conference experience but also increased the complexity of planning. Every detail, no matter how small, required attention and approval.

Solution

The Neolé team dedicated lots of time and attention to the project to make sure everything ran smoothly. We assigned a main contact within the planning team and adopted a divide-and-conquer strategy. This made a more streamlined and efficient workflow, allowing the team to manage the intricate details of the event more effectively.

Outcome

The conference was a big success, getting lots of positive feedback from attendees! We used Stormz, a collaborative brainstorming tool, to collect constructive input from participants. Overall, the event was filled with positive energy and teamwork. Everyone was dedicated and invested in making an event that not only met but exceeded expectations.
